The Embassy of the Kingdom of the Netherlands in San Jose is looking for a full time (38 hours per week) Management Assistant to the Ambassador, starting on 01 April 2021, or earlier if possible.
Profile
You are an experienced, IT savvy, proactive colleague who can easily manage a large workload with different tasks at the same time. An enthusiastic colleague who can easily integrate in the Embassy team, who is modern, flexible but at the same time well organized with an eye for detail. Somebody who can be diplomatic and respectful towards our outside clients but is not afraid to speak her/his mind internally.
You will work directly for the Ambassador and will work closely with the rest of the management team and the entire embassy staff. You are able to work independently, you are not afraid to take initiative, you have a high sense of responsibility and you are able to think and act form the point of view of the Ambassador. You have no difficulty in handling several tasks at the same time, you keep an overview, are able to set priorities and communicate about them.
Tasks
- Plan pro-actively by managing the agenda of the Ambassador based on the priorities of the Embassy, organizing internal and external meetings, monitor the agenda and point out issues or conflicts of interest;
- Coordinate social activities communicate pro-actively about these events, and handle the financial administration of activities;
- Prepare visits of the Ambassador coordinate internally and externally in the preparation and follow-up;
- Prepare, report, monitor and give follow up to meetings of the Management Team;
- Coordinate or contribute to large embassy activities;
- Coordinate information on Fellowship programs.
Work environment
The Embassy of the Kingdom of the Netherlands is accredited in five Central-American countries: Costa Rica, Nicaragua, Guatemala, El Salvador and Honduras. Requirements
- Secondary vocational level (MBO);
- Good working knowledge (oral and written) of Spanish and English;
- Good working knowledge (oral and written) of Dutch;
- Excellent IT skills including in, but certainly not limited to MS Office programs such as Word and Excel, Outlook and SharePoint;
- Skilled in the practical use of modern technology in the workplace;
- Skilled in planning and organizing;
- Pro-active working style;
- Skilled in collecting and interpreting data and compiling management information;
- Oral and written communication skills;
- Work permit and residency up to date;
- No criminal record;
- Available to start on April 01, 2021.
Benefits
- Working week from Monday through Friday.
- Starting gross monthly salary of USD 1.687,00 for 38 hours a week.
