Vacancy – Rio de Janeiro - Secretarial Administrative Assistant

The Consulate General (CG) of the Netherlands in Rio de Janeiro has a vacancy for a full-time secretarial administrative assistant at pay scale 5 from BRL 6.493/month onwards.

Job description

The job’s main components are secretarial, administrative, and organizational support to management and staff - with emphasis on economics, public diplomacy, and cultural affairs. Secondly, support (and replacement in absence) of the Operational Manager with operational business processes in areas of personnel, finance, administration, IT, consular and housing. Thirdly, co-responsibility for the (social) media and communication strategy. Finally, data analysis and providing management information on various topics. The (Deputy) Consul General directs the employee in terms of quality and progress of work.

Being the only support function at the Consulate, she/he forms an integral part of the policy team. Therefore, tasks are diverse and challenging, covering all policy areas. In a day of work, she/he may deal with answering emails, making appointments, writing meeting-reports, collecting, organizing and archiving data in management systems, supporting incoming visitors and delegations, and preparing files and logistics. She/he will be handling (incl. design of) invitations, set up guest lists and co-organize receptions and events. Engagement and enthusiasm for the optimal functioning of the Consulate in a broad sense is key.

Knowledge and skill requirements

Required are excellent secretarial-, administrative- and management support skills and methods incl. competence in collecting and presenting data and management information. A good command of Word (incl. functionalities for composing memo’s, letters), Excel (incl. data analysis and preparation of management information based on it) and Outlook. An education level comparable to ‘Netherlands MBOl’. Fluency in Portuguese, English and Dutch (written and orally). Good communication skills, an eye for details and a service orientated mentality.

Additionally, affinity with, or command of, various kinds of software is a necessity; such as archiving and trade information programs and InDesign. Familiarity with trade promotional activities and instruments is appreciated. Interest in priorities and strategies of the Dutch Ministry of Foreign Affairs and CG is advantageous. Experience with public relations and communication, and the associated software/designing tools, serves as an asset.

Working environment

The CG has 10 employees and represents Dutch interests in three Brazilian federal states (Rio de Janeiro, Minas Gerais and Espírito Santo). The focus is on economic, consular, public diplomacy and cultural interests. The resort has two honorary consulates. The CG works as ‘one-team’ with the Embassy in Brasilia, the CG in Sao Paulo and the two Netherlands Business Support Offices (NBSO) in Belo Horizonte and Porto Alegre - jointly the Dutch network in Brazil. The office is located in Leblon. The current covid-situation requests from the candidate additional flexibility and ability to find creative solutions and deal with stress.
